Admin Executive
Reports to: Head of Partnerships
Location: West London – currently operating an agile working policy with one core day (Wednesday) in the office
Contract: Permanent
Pattern: Full Time (standard hours 9am – 5.30pm)

About the role:
The Admin Executive will be responsible for providing administrative support across the Design, Delivery and Partnerships teams.
They will support with the set-up and logistics of the annual conference and face to face induction training and support the tracking, formatting, reporting, project management, quality assurance, and file management of curriculum and Professional Development programmes. This role will be key to supporting the 6 Heads of Programme.
The Admin Executive will also play an important role in supporting partner and acquisition communications for partner schools, partner organisations and prospects. The Admin Executive will be key in supporting the two people marketing team to deliver annual objectives.
Key Responsibilities:
- Create and send all emails detailed in the year’s calendar with support from Senior Campaign Manager
- Support delivery team with sending emails to partner schools when directed
- Create and send MyMastery announcements from request forms
- Create website news posts for blogs given by subject teams
- Create graphics in Canva, including editing videos
- Upload videos to Vimeo (for website use) and YouTube, when directed by Senior Marketing Manager or Senior Campaign Manager
- Create POs and input invoices in Concur for marketing team
- Upload marketing leads to Salesforce when required
- Manage webinar administration including registrants
- Scope suitable venues for in-person training sessions, including the annual conference
- Maintain spreadsheets, planners, and other documents to track project completion
- Support the teams with meeting and applying internal policies, including Rights and Permissions and Accessibility
- Liaise with external suppliers when needed about project management ensuring timelines are being adhered to and standards are upheld
Key Requirements:
- Experience in a customer success or customer service-based role
- Strong administrative and organisation skills with excellent attention to detail
- Experience with CRM (Salesforce desirable)
- Excellent written and oral communication skills
- Confident in using IT systems; Microsoft office and other digital tools to complete tasks and resolve queries
- A people person, who goes the extra mile to provide excellent service and customer experience
- Ability to juggle competing demands and priorities within deadlines
- Attentive to detail, accurate record keeper
