Ark Boulton Academy joined the Ark network in September 2015 and is a 6 form entry secondary school (11-16) in Sparkhill, Birmingham. Chosen by the students, the school is named after Matthew Boulton, a prominent Birmingham manufacturer, reflecting the industrial and entrepreneurial spirit of the city. Ark Boulton joins Ark’s thriving hub of primary and secondary schools in Birmingham.

We are now looking to recruit a HR Administrator.  Working in a team you will be responsible for providing a high standard of secretarial, administrative and and HR support in order to assist in the smooth running of all academy activities.

The ideal candidate will:

  • Experience of administration ideally within a school context
  • Experience of using databases
  • Excellent written and oral communication skills
  • Good IT skills, including the ability to confidently use Microsoft Word, Excel and Outlook 
  • Have a genuine passion and a belief in the potential of every pupil

 Job Description: HR Administrator

 

Reports to:                          Operations Manager

Salary:                                 Ark Support Staff Band 5 (full time £17,972 - £21,285 p.a.) Pro rata salary £8,988-£10,645 per annum. Dependent on experience and qualifications.
Hours of work:                 20 hours per week, 41 weeks per year (39 weeks term time + 2 weeks to be arranged to meet the needs of  the department).

 

The Role:

As an intergral member of the academy operations team, the post holder will provide HR administration support, undertaking duties across a range of HR activities including recruitment and selection administration, data management and reporting, HR compliance.

Key Responsibilities:

General administration

·         To support the academy in a full administrative capacity, including:
o   producing correspondence and reports, sometimes of a confidential nature
o   dealing with telephone and personal enquiries efficiently and effectively in a way which promotes a positive image of the academy
o   making maximum use of the academy’s information and communications technology including the network for diary management, the input of data and written communications
·         To meet and greet academy visitors, displaying due courtesy and tact, in order to ensure that visitors are welcomed into a friendly and professional environment 
·         To assist with relevant meetings as requested

·         To maintain an accurate and up-to-date paper and electronic filimg system for personnel records

  • To complete a range of HR related paperwork
  • To produce a range of HR letters and correspondence (e.g. variation to contract letters, maternity and holiday entitlement)
  • Other administration as requested
  • Assist the HR Manager with completion of all new starter paperwork, and other documents relation to staff employment.  This work will include:
o   Preparing new starter packs
o   Assisting with the preparation of paperwork for payroll
o   Assisting with the preparation of contracts of employment, contract variation letters and leaver letters.

Recruitment and Selection administration

·         To support the recruitment process across the academy, including scheduling and booking interviews, liaising with candidates and producing interview packs and meeting and greeting candidates

·         Ensuring room and refreshments are ready before the interview takes place

Data Management and Reporting

·         To manage HR Information System to ensure that electronic employee records are accurate and up to date.  This will include responsibility for data entry and reporting

·         To maintain an accurate and up-to-date Single Central Record

·         To coordinate the academy’s School Workforce Census annual return

·         Assist the HR Officer with maintenance of confidential staff records.  This will include:

o   Filing

o   Retrieving records for Senior Staff

o   Ensuring full records are maintained for staff

Other

·         To work in collaboration with the Ark Central team as appropriate

General

  • Undertake any training which may be necessary to discharge these duties
  • Participate in the academy’s arrangements for performance management and continued professional development
  • Carry out other duties as may be commensurate with the grade and nature of the post.

Qualifications

·         Right to work in the UK

  • Ideally qualified to degree level and/or relevant professional qualifications.

Experience

  • Experience of working in HR administration (essential)
  • Experience of using a database, ideally an HR database (essential)
  • Experience of working in a similar role in a school environment (desirable)
  • Effective problem solver and flexible team player, with the ability to plan ahead
  • Excellent interpersonal skills with a proven track record of developing strong and productive working relationships
  • Good IT skills, including the ability to confidently use Microsoft Word, Excel and other publishing/editing or design packages as mentioned above
