In September 2012 Isaac Newton Academy opened with its inaugural cohort of 180 year 7 students. The school has grown, year on year, to become an 11-18 academy of 1250 students with specialist status in mathematics and music. In 2014 the primary phase of the academy opened to 90 reception-aged children. This too will grow each year, until full in September 2020.
We are looking for a Pastoral Administrator to join our team of staff. The successful candidate will be responsible for leading the pastoral administration service together with ensuring the smooth running of the student reception area, dealing with all student enquiries and being the first point of contact for first aid issues.
Our ideal candidate will:
· have experience of undertaking administrative tasks within an office environment
· have experience of working on a busy reception and able to juggle multiple priorities.
· have strong teamwork, interpersonal, written and oral communication skills
· have a first aid qualification or willingness to undertake a first aid qualification.

Job Description: Pastoral Administrator
Reporting to: The Office Manager

The Role – key responsibilities
- To provide a comprehensive administrative support service to students and pastoral leaders in order to ensure the smooth running of the student reception
- To line manage the Student Receptionist
- To oversee student reception, ensuring all student enquiries, detentions, lost property, databases etc. are dealt with effectively
- To act as Welfare Officer, being the first point of contact for students who feel unwell or require first aid assistance.
- To support in the management of student records including the filing of student data.
Student reception
- To identify, develop and implement processes and systems in order to ensure an effective reception service across the academy
- To be responsible for dealing with day to day key stage 4 student reception issues
- To establish a business-like environment and promote good relations with all staff and students
- To collect and keep safely all student phones and other valuable items
- To oversee the detention database, sending text messages and making calls to parents/carers where necessary
- To oversee the maintenance of the lost property system
- To support the Academy’s administrator in respect of student attendance, checking lessons for students who are unaccounted for
- To oversee replacements for lost student locker keys and lanyards
- To be responsible for ensuring effective communication to students throughout the day as required
- To issue student IT log in reminders and arrange for print top ups as requested
- To support the development of students’ independence skills
- To cover for the Academy Administrator/Receptionist when required
- To ensure the student reception area is clean, free from clutter and well presented.
Administration
- To support the Vice Principal and Office Manager with administration associated with year 6 student transition
- To support the pastoral leaders in general administration and student filing
- To be responsible for the maintenance of all Key Stage 4 student files, ensuring papers are filed in line with school policy
- To provide administrative support to the Saturday Stretch programme, sending letters, chasing responses and requesting refreshments
- To be responsible for supporting with students’ contributions to trips, visits, musical instruments etc.
- To support with the administration associated with Parents’ Evenings, GCSE results day, Open Evenings and other key Academy events and to provide front of house support for these events.
Welfare
- To act as first point of contact for first aid issues
- To maintain the first aid database
- To organise and monitor the administration of medication and ensure its safekeeping
- To type up care plans following the care plan meetings and distribute care plan to other stakeholders.
- To ensure medication is available for off-site activities and school trips
- To report to the office manager, to ensure that the circumstances of accidents are properly reported, examined and recorded.
- To support with student vaccinations
- To be responsible for the regular collation of statistics re: accidents/first aid issues
- To provide support in relation to care plans
- To ensure first aid stock is maintained across the Academy
Line management
- To be line manager for the Student Receptionist. To support, induct, coach and mentor the Student Receptionist and to lead by example.
- To undertake Performance Management of the Student Receptionist in line with the Academy’s timetable. To undertake probation procedures in accordance to the Academy’s policy.
- To hold regular line management meetings and provide written minutes of such meetings.
Other
- To support admin/reprographics and other operations as and when required
- To maintain a presence around the school to ensure that the highest standards of behaviour and site usage are upheld
- To communicate and liaise with staff, students, parents, governors and members of the local community as appropriate
- To be active in issues of staff and student welfare and support
- To attend open evenings, team meetings and training as required.
- To undertake break and other duties as required.
- To act as a test/exam invigilator as required
- To uphold the Academy’s dining vision, eating daily with the students.
- To comply with and assist in the development of policies and procedures in relation to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
- To be actively involved in the academy’s enrichment provision
- To act as BRIDGES Mentor
- To support with whole school initiatives
- To undertake training and development relevant to the post and in line with the Academy’s priorities
- To undertake any other professional duties as directed by the Principal.
Pastoral Administrator: Person Specification
Qualification criteria
- Qualified to work in the UK
- Maths and English qualifications to grade C GCSE/O level or equivalent
- Relevant qualification in office administration and/or ICT applications (desirable)
- First aid qualification or willingness to undertake a first aid qualification
Knowledge and Experience
- Experience of having worked successfully in at least one school, preferably with some welfare responsibility, in an urban, multi-cultural setting, with students from backgrounds of socio-economic disadvantage (desirable)
- Experience of undertaking administrative tasks within an office environment
- Experience of working on a busy reception.
